LOGISTICS / PRACTICAL GUIDE

Choose your first logistics automation workflow

Start with one handover between operations and finance, then define its inputs, owners and exceptions.

Start with the handover that causes repeated chasing

Look for a task that repeatedly waits on the same information: a delivery reference before billing, a receipt before trip review, or a goods receipt before invoice approval. Describe the starting event and the decision that ends the task. A single complete handover is easier to evaluate than an undefined goal to automate all operations.

  • What starts the task, and where does the input arrive?
  • Who owns the next decision?
  • Which missing record stops the handover?

Map the evidence before choosing the software

List the source records, identifiers and people involved. Shipment references, invoice numbers and trip identifiers need an agreed meaning. Include how the team finds duplicates, corrects a wrong reference and requests missing evidence. Check the actual API access and permissions before assuming systems can be connected.

Give every exception an owner

A workflow should not silently move an incomplete record forward. Decide who handles a missing receipt, a quantity mismatch or an unavailable system. Define how the team sees the exception and what evidence is needed to resolve it. Keep an accountable person at the approval point.

Measure the first scope against a baseline

Before an evaluation, record the time taken to assemble a review, the number of missing records and the unresolved backlog over an agreed period. Use representative examples, including awkward cases, to compare the proposed workflow. Separate observed results from expected benefits; do not infer savings from a polished demonstration.

  • Use anonymized samples for the initial discussion.
  • Agree success criteria and exclusions in writing.
  • Include recovery steps, documentation and handover responsibilities.

Discuss this in your own workflow.

Bring the current process, your tools and the result you want. We can use that context to define a focused first conversation.
